Regarding the purchaser information on the e-commerce website that our company managed, parts of the website were constructed with the service that Shopify provided. Personal information related to the operation of a Shopify-built website will be provided to Shopify, Inc. and its affiliates located in Canada, the United States, and other countries outside of Japan. For the handling of personal information provided to third parties which located in such foreign countries, please refer to the privacy policy of Shopify, Inc. In addition, regarding the handling of personal information held by clients for whom our company have undertaken related work, our company will utilize and handle such personal information appropriately within the scope for achieving the intended purpose of the work in accordance with the client’s regulations.,Inc.

f) Request Procedures for Disclosure of Retained Personal Data or Third-Party Provision Records

Requests for disclosure of personal information, etc. (notification of purpose of use, disclosure, correction, addition or deletion of content, suspension of use, erasure, and suspension of third-party provision records), can only be made by the individual or their authorized representative.

If the requester is the individual themselves and written response is not necessary, please first notify the designated contact point mentioned in d) above of your request for personal information disclosure. After confirming the requester's identity, based on the information we hold, we will promptly process the request using the preferred method of contact specified by the individual, either via callback or email.

If the requester is an authorized representative or prefers a written response, we only accept requests for disclosure of personal information and related matters in written form. Please send a request to the designated contact point mentioned in d) above to receive the "Personal Information Inquiry Application Form." After receiving the form, please fill in the required information and enclose the identification documents listed on the form, and, if applicable, a 300 Japanese yen postage stamp as a fee for disclosure of personal information and notification of purpose of use. Please send the completed form and documents back to our designated contact point via mail. We will provide detailed instructions when you make the inquiry. Please note that we will strive to respond promptly within 5 business days from the date of receipt.

Regardless of the method of request, please understand that there may be cases where we cannot comply with disclosure requests due to legal obligations or other provisions. If we are unable to fulfill the request, we will provide an explanation for the reasons behind our inability to do so.

g) Measures Taken for the Secure Management of Retained Personal Data

Our company have implemented the following measures to prevent leakage, loss, or damage, and ensure the secure management of the personal data we handle:

(1) Formulation of Personal Information Protection Policy:
In order to ensure the proper handling of personal information, we have formulated a Personal Information Protection Policy and conduct activities related to personal information protection based on this policy.

(2) Establishment and Operation of Internal Regulations for Personal Information Handling:
For each lifecycle stage of personal information, including acquisition, transfer, use, storage, and disposal, we have established and implemented internal regulations regarding handling methods, responsible personnel, and their duties.

(3) Organizational Security Management Measures:
In order to protect personal information, we have appointed administrators and established an internal audit system to regularly confirm that our personal information protection activities are appropriate. We have also developed a personal information protection management system internally and strive for continuous improvement.

(4) Personnel Security Management Measures:
Regardless of employees’ involvement in personal information handling, we provide regular education on personal information protection to all employees. We also have confidentiality agreements in place with all employees.

(5) Physical Security Management Measures:
We clearly define areas where personal information is handled and strictly limit access control, as well as the bringing in and taking out of information equipment. We conduct regular inspections to prevent theft, loss, or other incidents involving devices, electronic media, and documents handling personal information.

We have implemented mechanisms to protect information systems processing personal information from unauthorized access and malfunctions. Access restrictions are enforced for employees handling personal information, ensuring that only authorized individuals can access such data.

We are aware of the systems related to the protection of personal information in the foreign countries where we store personal data and implement appropriate security management measures.
